CRM integration in Singapore: HubSpot or Salesforce for a regional team?
Flow Mesh · · 6 min read
A 10 to 50 person firm in Singapore with staff or clients in Malaysia, Indonesia, Hong Kong or Australia usually reaches the same question once spreadsheets stop coping: HubSpot or Salesforce? Both are capable. The choice is less about features and more about who will run the system, how much configuration you need, where your data sits and how the CRM will connect to the tools you already use.
The short answer: HubSpot suits most firms of this size that want a CRM the team can run without a dedicated administrator. Salesforce suits firms with complex, multi-entity processes, a budget for an administrator or partner, or a firm requirement to host data in Singapore. This guide walks through the points that decide it. It is general information, not legal advice; check data protection questions with your lawyer or compliance lead.
What a regional team actually needs from a CRM
Before comparing vendors, write down what the CRM must do for your team. For most professional services firms in the region that means:
- One record per client, shared across offices, with a clear owner.
- Pipelines that reflect how each office sells, sometimes in different currencies.
- Email and calendar logging from Microsoft 365 or Google Workspace.
- A connection to accounting (Xero, QuickBooks or a local package) so won work becomes an invoice without re-keying.
- Reporting a partner can read on Monday morning without exporting to Excel.
If your list stops there, you are in HubSpot territory. If it includes approval chains, separate legal entities with their own rules, territory management or heavy custom objects, Salesforce starts to earn its extra complexity.
Where your data is hosted
This is the question Singapore firms ask most, and the answers differ.
HubSpot lists its hosting locations on its data centers page: the European Union, Canada, Australia, and US West and East, as of October 2026. Singapore is not on the list. The same page says new paid customers are assigned a hosting location based on the IP address they sign up from, customers on free tools only are hosted in the United States, and paid customers can migrate to another data center from their account settings. Check the Data Hosting tab in your account defaults to see where your portal actually sits.
Salesforce announced in 2021 that its Hyperforce infrastructure would allow customers to host data locally in Singapore. Whether a new org lands there depends on your contract and edition, so ask your account executive to confirm the data residency location in writing before you sign.
Local hosting is not automatically required. What matters is whether you can meet your obligations when data leaves Singapore, which is covered next.
PDPA points to check before you connect anything
The Personal Data Protection Act applies whichever CRM you pick. Three parts matter most for CRM and integration decisions.
Overseas transfers stay your responsibility
Section 26 of the PDPA restricts transfers of personal data outside Singapore unless the receiving party provides a comparable standard of protection. The PDPC's advisory guidelines on cloud services make the point plainly: an organization that uses a cloud provider as a data intermediary remains responsible for the transfer limitation obligation, whether the provider is in Singapore or overseas. The guidelines suggest dealing with the standard of protection and the permitted locations in the written contract.
In practice: read the vendor's data processing terms, note which countries they allow, and keep that record with your data protection documents.
Every connected tool is another transfer
A CRM rarely stands alone. Zapier, Make, an email marketing tool, a document signing tool and an AI assistant can each copy client data into another country. Zapier, for example, states on its security page that data is stored on AWS in the United States. List every tool that touches CRM data and where it stores it. Our guide on whether it is safe to put client data through Zapier covers the questions to ask, including how long run logs keep copies.
Breach notification has a short clock
The PDPC's guidance on notifiable breaches says a notifiable breach must be reported as soon as practicable and no later than three calendar days, with affected individuals notified as soon as practicable. That only works if you know which systems hold what. A CRM connected to six tools by personal logins nobody documented makes that assessment slow.
Integration: which is easier to connect?
Both platforms connect to Microsoft 365, Google Workspace, Xero, QuickBooks, Zapier and Make. The differences are in how much you can do without a specialist.
| Point | HubSpot | Salesforce |
|---|---|---|
| Setup without an admin | Realistic for a small team | Usually needs an admin or partner |
| App marketplace | Large, mostly plug-and-play | Very large, many apps need configuration |
| Workflow automation | Built in from the Professional tier | Flow is powerful but has a learning curve |
| API access | Available, with rate limits per plan | Depends on edition; check before planning integrations |
| Custom objects and complex data models | Available on higher tiers | Core strength |
On API access, Salesforce's pricing page lists the Web Services API as a paid add-on for some editions as of October 2026, so confirm that your edition includes it before you plan any Zapier, Make or custom integration. If you are connecting Salesforce to accounting, our guide on integrating Salesforce with QuickBooks explains the options.
Whichever CRM you choose, decide which system owns each field before you connect anything. Client names and contacts usually belong in the CRM, invoices and payments in accounting. Our article on integrating a CRM with accounting software covers source of truth, duplicates and one-way versus two-way sync.
What it costs, as listed in October 2026
List prices are in US dollars on both vendors' sites; ask for local currency quotes.
- HubSpot Sales Hub, per its pricing page: Starter from US$7 per seat per month billed annually (US$20 monthly), Professional from US$90 per seat per month billed annually, Enterprise from US$150 per seat per month. Professional carries a one-time onboarding fee of US$1,500 and Enterprise US$3,500.
- Salesforce Sales Cloud, per its pricing page: Starter Suite US$25, Pro Suite US$100, Core US$195, Advanced US$395 and Max US$550 per user per month, with every edition above Starter Suite billed annually.
The licence is only part of the cost. Budget for setup, data migration, integrations and someone who owns the system after launch. With Salesforce, that owner is often a paid administrator or partner; with HubSpot, it is often an operations lead who gives it a few hours a week.
A simple way to decide
Choose HubSpot if most of these are true:
- No one on the team will be a full-time CRM administrator.
- One or two pipelines cover how every office sells.
- You want marketing email, forms and the CRM in one place.
- Australian or other non-Singapore hosting is acceptable once your transfer obligations are documented.
Choose Salesforce if most of these are true:
- You run several entities or business lines with different rules and approvals.
- You need deep custom objects, territory rules or complex reporting.
- You have budget for an administrator or partner.
- Singapore hosting is a firm requirement from your clients or your own policy.
If you are torn, run a two-week trial of each with your real pipeline and three real users, and judge on what the team actually used.
How Flow Mesh helps
If you are choosing a CRM or untangling one that never quite worked, every engagement starts with a first call and an NDA, then a stack audit scoped in writing before it starts, with a verdict on every tool: keep, configure, consolidate or replace. Builds are quoted in writing after the audit and done inside your own accounts, and a DPA is available on request.
Key takeaways
- HubSpot suits most 10 to 50 person firms without an administrator; Salesforce suits complex, multi-entity processes with someone to run it.
- HubSpot does not list a Singapore data center; Salesforce has announced local hosting through Hyperforce. Confirm the actual location in writing.
- Under the PDPA your firm stays responsible for overseas transfers, including those made by every tool connected to the CRM.
- Check Salesforce API access by edition before planning integrations, and decide which system owns each field.
- Budget for setup and ownership, not just the licence.
