Systems integration and workflow automation in Switzerland

Your systems, connected. Your data, kept in confidence.

New tools keep piling up, and nobody on your team has the time, or the specialist know-how, to connect them properly. That is exactly the job we take off your hands.

WHERE THE HOURS GO

Where Swiss firms lose hours between systems

The licence fees are the visible part. The real cost sits between the tools: the re-keying, the chasing, and the question of which version is right.

01

Client onboarding that runs on email and PDFs

KYC documents, engagement letters and mandate forms travel by email, then get re-typed into the CRM, the portfolio or practice system and the billing tool. Every re-key is an error waiting to happen, and a copy of sensitive data you didn't need.

02

Microsoft 365 everywhere, connected to nothing

The firm lives in Outlook, Teams and SharePoint, but the CRM and the finance tool don't talk to them. Partners assemble status reports by hand on Friday afternoon.

03

Tools bought for a different market

A platform chosen for its US feature list that ignores Swiss realities: multilingual clients, CHF and EUR, cantonal differences. Wiring it in deeper costs more than replacing it.

04

Automations nobody owns

A Make or Zapier scenario built by a former employee still moves client data every night. Nobody knows exactly what it touches, which is the wrong answer to give an auditor.

WHO WE WORK WITH

Who we work with in Switzerland

Established firms with real volume running through their tools, where a mistake in a data flow is a reputational problem, not just an operational one.

Wealth and asset managers, family offices

Client onboarding, reporting and CRM hygiene where every data flow has to be explainable to compliance.

Fiduciaries and trust companies

Mandate intake, document collection and deadline follow-ups connected to the tools your team already uses.

Law and advisory firms

Intake, conflict-check preparation, engagement letters and billing steps connected, without anyone re-typing a client file.

Life sciences, medtech and healthcare

Booking, scheduling and back-office flows, like the Swiss healthcare facility below.

Serving

Zurich · Geneva · Basel · Bern · Lausanne · Zug · Lucerne · Lugano · St. Gallen

We don't have a Swiss office, and we don't pretend to. Every engagement is delivered remotely, calls are in English or French, and every deliverable is in writing.

RECENT WORK · ANONYMISED UNDER NDA

A Swiss healthcare facility, eight weeks from audit to handover

Healthcare facility · 25 to 50 people · Switzerland

Audit, then integration · 8 weeks

Before

Patient bookings arrived by phone, email and walk-in, and staff updated calendars by hand. Lab results were delayed and re-entered into several systems. Moving a patient between departments was slow.

After

An online booking form syncs directly to the calendar, with automated SMS reminders. Lab results attach to the patient record as soon as they arrive. Transfers between departments happen automatically. Reception workload down by about 60 hours a month, freed for patient care.

COMMON QUESTIONS

What firms ask us first

Do you sign an NDA before we share anything?

Yes. The NDA is signed as soon as you engage us, before you give us access to any system or data. The free fit call beforehand doesn't need confidential information: we talk about how the firm runs, not about specific clients.

What does a systems integration specialist do?

A systems integration specialist connects the software a business already uses (CRM, Microsoft 365 or Google Workspace, e-signature, accounting and project tools) so data moves between them automatically instead of being re-typed, then automates the repetitive work between them. For Swiss firms, we start with a fixed-fee audit of every tool, then build, test and document the integrations and workflow automation around how your team actually works.

Will you sign a data processing agreement under the revised FADP?

Yes, on request. If our work means processing personal data on your behalf, we sign a data processing agreement covering scope, purpose, duration and security, in line with the revised Federal Act on Data Protection.

Do you keep a copy of our data?

No. We work inside your own accounts under the permissions you grant, and we don't copy client data out to our own systems.

Do you have an office in Switzerland?

No. Flow Mesh works remotely with clients in Switzerland, Luxembourg, Singapore, North America and the Philippines. Calls are in English or French, and every deliverable is written, so nothing depends on being in the same room.

How much does systems integration cost in Switzerland?

The stack audit is a fixed fee of €1,500, invoiced in euros and scoped in writing before it starts. Implementation is quoted in writing after the audit, and any ongoing support is agreed after the build. The first call is free.

Which tools do you work with?

The ones established Swiss firms tend to run: Microsoft 365, Google Workspace, HubSpot, Salesforce, DocuSign, Notion, ClickUp and Slack, with Make and Zapier to connect them. If a tool has an API or a connector, we can integrate it.
