Systems integration and workflow automation in Canada

Connected systems, in English or French.

New tools keep piling up, and nobody on your team has the time, or the specialist know-how, to connect them properly. That is exactly the job we take off your hands.

WHERE THE HOURS GO

Where Canadian firms lose hours between systems

Two official languages and a patchwork of privacy laws make every gap between tools a little more expensive.

01

Two languages, one set of templates

Clients in Québec expect French. Forms, emails and documents exist in English only, so staff translate by hand, every time.

02

One client, typed in four times

Intake in a web form, details in the CRM, documents in SharePoint, billing somewhere else. The same client entered again at every step.

03

Privacy questions nobody can answer quickly

Since Québec's Law 25, clients ask what personal information you hold, where it sits and who can reach it. The answer shouldn't take a week.

04

Tools sized for another market

Software built for the US market, priced in US dollars, with features you don't use and gaps you work around, like French-language support.

WHO WE WORK WITH

Who we work with in Canada

Established practices and teams with real volume running through their tools, in one official language or both.

Law firms

Intake, conflict-check preparation, engagement letters and billing connected, in both official languages where you need it.

Accounting and wealth management

Client onboarding, document collection and reporting connected to the CRM, with every data path documented.

Clinics and healthcare groups

Booking, reminders and records flows, like the healthcare facility we connected in Switzerland.

B2B technology and services

Sales, onboarding and support tools wired together so the team grows without adding admin.

Serving

Toronto · Montréal · Vancouver · Calgary · Ottawa · Québec City

We don't have a Canadian office. We work remotely, calls are in English or French, and every deliverable is in writing.

RECENT WORK · ANONYMISED UNDER NDA

A law firm, seven weeks from audit to handover

Law firm · 20 to 35 people · France

Audit, then integration · 7 weeks

Before

Client intake relied on email chains, paper forms and manual re-entry into several systems. Marketing could not track which leads came from French legal directories and campaigns. Engagement letters often went out late, which delayed billing.

After

One intake form creates the client in every system. Marketing campaigns sync directly to the CRM, so the firm can see return on each channel. Engagement letters generate and file themselves. About 40 hours a month back across paralegal and admin staff.

COMMON QUESTIONS

What firms ask us first

Do you sign an NDA before we share anything?

Yes. The NDA is signed as soon as you engage us, before you give us access to any system or data. The free fit call beforehand doesn't need confidential information: we talk about how the firm runs, not about specific clients.

What does a systems integration specialist do?

A systems integration specialist connects the software a business already uses (CRM, Microsoft 365 or Google Workspace, e-signature, accounting and project tools) so data moves between them automatically instead of being re-typed, then automates the repetitive work between them. For Canadian firms, we start with a fixed-fee audit of every tool, then build, test and document the integrations and workflow automation around how your team actually works.

Can you work in French?

Yes. Calls can be held in French or English, which matters for Québec teams.

Will you sign a data processing agreement for PIPEDA and Law 25?

Yes, on request. If our work involves personal information you're responsible for, we sign a data processing agreement covering scope, purpose, duration and how the information is protected.

Do you keep a copy of our data?

No. We work inside your own accounts under the permissions you grant, and we don't copy client data out to our own systems.

Do you have an office in Canada?

No. Flow Mesh works remotely with clients in Canada, the United States, Switzerland, Luxembourg, Singapore and the Philippines. Every deliverable is written, so nothing depends on being in the same room.

How much does systems integration cost in Canada?

The stack audit is a fixed fee of €1,500, invoiced in euros, so your bank converts it at the day's rate. Implementation is quoted in writing after the audit. The first call is free.

One stack, both languages, no re-keying
