Workflow automation and ATS integration for recruitment agencies

More time with candidates and clients, less time re-typing CVs.

New tools keep piling up, and nobody on your team has the time, or the specialist know-how, to connect them properly. That is exactly the job we take off your hands.

First call · NDA before any access to your systems · Scope agreed in writing

WHO WE WORK WITH

What we typically build for recruitment agencies

Established agencies where the ATS is already paid for and consultants spend too much of the day on admin around it.

Candidate intake straight into the ATS

Applications from email, forms and job boards parsed and filed in the ATS, with duplicates flagged instead of created.

Interviews that book themselves

Booking links tied to real calendars, with confirmations and reminders sent by email or WhatsApp automatically.

Shortlists and follow-ups on time

Shortlist reports generated from the ATS for the client, and follow-up reminders for candidates and clients at each stage.

Documents and timesheets that chase themselves

Compliance document requests that stop once the file arrives, and approved timesheets that flow to invoicing without re-keying.

Serving agencies in

United States · Canada · Switzerland · Luxembourg · Singapore · Philippines · France

We work remotely, with no local offices. Calls are in English or French, every deliverable is in writing, and all fees are invoiced in euros.

THE STACK WE SPECIALIZE

CRM integration and workflow automation across your whole stack

We work with the software established firms actually run, and connect it so data is entered once and correct everywhere.

WHERE THE HOURS GO

Where recruitment agencies lose hours between systems

The ATS licence is the visible cost. The real one is the consultant time spent copying, chasing and scheduling instead of placing.

01

CVs re-typed into the ATS

Applications arrive by email, job boards, the website and LinkedIn. Someone opens each CV and types the candidate into the ATS, and the same person ends up in it twice under slightly different names.

02

Interview scheduling by email ping-pong

Finding a slot that suits the candidate, the client and the consultant takes five emails. Confirmations and reminders are sent by hand, and a no-show is discovered on the day.

03

Follow-ups that depend on memory

Candidates waiting for feedback, clients waiting for a shortlist, placed people due a check-in. When a consultant is busy or away, the follow-up quietly doesn't happen.

04

Timesheets and documents chased by hand

Right-to-work checks, references and signed contracts collected over several reminders. Timesheets come in late or in different formats, then get re-keyed before anyone can invoice.

RECENT WORK · ANONYMISED UNDER NDA

The closest work we can show: a consulting firm's pipeline, automated

Consulting firm · 5 to 12 people · United States

Audit, then integration · 5 weeks

Before

Leads were tracked in spreadsheets and project notes were scattered across the team. Onboarding emails were sent by hand and follow-ups were often forgotten, which held back growth.

After

The CRM now drives all lead tracking, onboarding emails send automatically, and files live in one workspace. About 20 hours a month back for the team. Lead-to-client conversion up 38%.

Every client shown here has signed a non-disclosure agreement with Flow Mesh. Each engagement is described by sector, size and outcome only. Client names, the software they use and any identifying details are withheld.

HOW IT WORKS

From first call to a system that runs itself

STEP 01

First call

We learn how your firm runs, what you pay for and what frustrates you. If your firm already runs well, we say so here.

01
FIRST CALL
STEP 02

NDA, then scope in writing

The NDA is signed before any access to your systems. Then what we'll look at and what you'll receive, agreed before we start.

02
NDA & SCOPE
STEP 03

Working session and review

A session with the partners on who does what, in which tool, then a tool-by-tool review in your accounts, under your permissions. Client data never leaves your systems.

03
REVIEW
STEP 04

Report, walkthrough and quote

The work done by hand and its cost, what's used, idle and duplicated, and a roadmap in the order that pays back fastest. If a build is worth doing, the scope, timeline and price come in writing.

04
REPORT
STEP 05

Build, test, switch over

Integrations and automations built alongside your live systems, tested with your real cases, and switched over at a time you choose.

05
BUILD
STEP 06

Training and support

Sessions on your own tools and cases, written guides, recorded walkthroughs and a 30-day support window, then an optional monthly retainer.

06
SUPPORT
THE ENGAGEMENT

Three steps, each agreed in writing

The audit is a fixed fee, quoted in writing after the first call. The build is quoted in writing, per project, after the audit, because the price depends on what the audit finds. Nothing is billed until you've agreed it.

Training and support
Agreed after the build

Optional: your team trained, your setup supported and improved.

COMMON QUESTIONS

What firms ask us first

Will you make us change ATS?

We don't start from replacing it. The audit judges the ATS like every other tool, and most of the work is connecting intake, calendars, email, documents and invoicing to it. If it doesn't fit how the agency works, the verdict says so and why.

Which tools do you connect for recruitment agencies?

Usually the ATS or recruitment CRM (for example Bullhorn, Vincere, Recruitee or Teamtailor), HubSpot, Microsoft 365 or Google Workspace, WhatsApp, and Make or Zapier to tie them together. Any tool with an API or a native connector can be integrated, and the audit tells you which ones are worth connecting.

Do you handle right-to-work or compliance checks?

No. We automate the requests, reminders and filing around the documents you already ask candidates for. What the checks must cover, and the decision on each one, stay with your agency.

Do you sign an NDA before we share anything?

Yes, before any access to your systems. The first call needs no confidential information: we talk about how the firm runs, not about specific clients.

Do you keep a copy of our data?

No. We work inside your own accounts under the permissions you grant, and we don't copy client data out to our own systems.

Is this right for a small agency?

We work best with firms of 10 to 50 people. Under 10 people with two or three tools, an audit would be overkill: write to us anyway and we'll point you in the right direction on a first call.

How long does it take?

The audit takes 1 to 2 weeks. Integration and automation are scoped in writing after it and typically take 6 to 8 weeks, built alongside your live systems so desks keep working while it happens.

One call, no candidate or confidential detail needed. If an audit is worth doing, you'll get the scope in writing before anything starts. If it isn't, we'll say so.
