Workflow automation and Clio integration for law firms

Intake to invoice, without typing a matter in twice.

New tools keep piling up, and nobody on your team has the time, or the specialist know-how, to connect them properly. That is exactly the job we take off your hands.

IN SHORT

What we do for law firms

We are workflow automation and systems integration specialists for law firms of 10 to 50 people. We connect the practice management system (Clio or similar) to the CRM, Microsoft 365 or Google Workspace, e-signature and billing, so a new client is entered once and appears correctly everywhere. Every engagement starts with a fixed-fee stack audit (EUR 1,500) that gives a written verdict on each tool: keep, configure, consolidate or replace. In a recent engagement with a French law firm we connected Clio, HubSpot, Microsoft 365 and DocuSign with Make; the firm measured about 40 hours a month back across paralegal and admin staff. NDA signed when you engage us, before any system access.

WHERE THE HOURS GO

Where law firms lose billable hours between systems

The practice management licence is the visible cost. The real one sits between the tools: the re-typing, the chasing, and the engagement letter that goes out a week late.

01

Intake that runs on email and forms

A new matter arrives by email or web form, then someone re-types the client into the practice management system, the CRM and the billing tool. Each copy is a chance for a typo in a name that matters.

02

Engagement letters that wait for someone

The letter is drafted from an old template, sent for signature by hand, and filed wherever the sender remembers. Until it is signed, the work can't be billed.

03

Marketing nobody can measure

Directory listings, referrals and campaigns all bring enquiries, but none of it reaches the CRM in a form partners can read. Nobody knows which channel actually brings matters.

04

Document and email silos

Correspondence lives in Outlook, documents in SharePoint or a drive, matters in Clio. Finding the full picture on a file means opening three systems.

WHO WE WORK WITH

What we typically build for law firms

Established practices where the tools are already paid for and the problem is the gaps between them.

One intake, every system

A secure intake form that creates the client and matter in the practice management system and the CRM in one step.

Engagement letters that send and file themselves

Generated from the intake data, sent for e-signature, and filed against the matter once signed.

Marketing attribution in the CRM

Campaigns and directory enquiries synced to the CRM, so return on each channel is visible.

Follow-ups and deadlines that don't slip

Automated reminders and task creation for the steps that depend on someone remembering.

RECENT WORK · ANONYMISED UNDER NDA

A law firm that got 40 hours a month back

Law firm · 20 to 35 people · France

Audit, then integration · 7 weeks

Before

Client intake relied on email chains, paper forms and manual re-entry into several systems. Marketing could not track which leads came from French legal directories and campaigns. Engagement letters often went out late, which delayed billing.

After

One intake form creates the client in every system. Marketing campaigns sync directly to the CRM, so the firm can see return on each channel. Engagement letters generate and file themselves. About 40 hours a month back across paralegal and admin staff.

COMMON QUESTIONS

What firms ask us first

Will you make us switch practice management systems?

Only if the audit shows the current one doesn't fit how the firm runs. In our law-firm engagement, Clio stayed and everything else was connected to it.

Which tools do you connect for law firms?

Most often Clio, HubSpot, Microsoft 365, DocuSign and Make or Zapier, since that is what we have built with. Any tool with an API or a native connector can be integrated, and the audit tells you which ones are worth connecting.

Do you sign an NDA before we share anything?

Yes. The NDA is signed as soon as you engage us, before you give us access to any system or data. The free fit call beforehand doesn't need confidential information: we talk about how the firm runs, not about specific clients.

Do you keep a copy of our data?

No. We work inside your own accounts under the permissions you grant, and we don't copy client data out to our own systems.

Is this right for a small practice?

We work best with firms of 10 to 50 people. Under 10 people with two or three tools, an audit would be overkill: write to us anyway and we'll point you in the right direction on the free call, without a fee.

How long does a law-firm project take?

The audit takes 1 to 2 weeks. Integration and automation are scoped in writing after it and typically take 6 to 8 weeks; our law-firm engagement took 7 weeks from kick-off to handover.
