Costs and planning
How much does Zapier cost for a team? Tasks, AI steps and overages explained
Flow Mesh · · 6 min read
Zapier's price looks simple until a team starts using it. The plan you pick sets a monthly task allowance, and everything else (how many steps your Zaps have, how often they run, whether they include AI steps) decides how fast you use it. A firm that budgets on the entry price can find itself on a tier three or four times higher within a few months.
The direct answer: for a firm where several people build or manage automations, the relevant plan is Team, listed on Zapier's pricing page in October 2026 from $69 a month billed annually for 2,000 tasks, with up to 25 users. Your real cost depends on task volume, and AI steps can use 3 or 5 tasks each by default. The sections below explain how tasks are counted and how to estimate your own bill.
Zapier's plans at a glance
As listed on Zapier's pricing page in October 2026, prices per month:
| Tasks per month | Pro (1 user), annual / monthly | Team (up to 25 users), annual / monthly |
|---|---|---|
| 750 | $19.99 / $29.99 | not offered |
| 2,000 | $49 / $73.50 | $69 / $103.50 |
| 10,000 | $129 / $193.50 | $169 / $253.50 |
| 100,000 | $489 / $733.50 | $599 / $898.50 |
There is also a Free plan (100 tasks, two-step Zaps only) and an Enterprise plan with custom pricing and an annual task limit. Note that task allowances reset monthly even on annual billing.
Why a team usually needs Team, not Pro
Pro is a single-user plan. Team adds the features that matter once more than one person relies on your automations: a shared workspace, shared app connections, folder permissions, SAML single sign-on and a six-month audit log, according to the same pricing page.
Shared connections are the important one. On a single-user account, every Zap runs on one person's logins. When that person leaves, the Zaps break. If your firm already runs several Zaps from one employee's account, that is worth fixing before anything else.
What counts as a task
Zapier's help center explains how task usage is measured. In short, as described on the pricing page in October 2026:
- Counts: each successful action step, including AI by Zapier and Code by Zapier steps.
- Does not count: triggers, polling checks, failed actions, and built-in tools such as Filter, Paths, Formatter, Delay, Looping and Digest. Zapier Tables and Forms do not use tasks either.
This is different from Make, which charges for trigger checks. In Zapier, a Zap that checks for new data every two minutes and finds nothing costs nothing. Our guide to Make.com credits explains the other model.
A quick example
A new client intake Zap: the form is the trigger (free), a filter checks the form is complete (free), then three actions: create a CRM contact, create a folder, send a Slack message. That is 3 tasks per client. At 80 new clients a month, 240 tasks.
Add a Looping step that creates a task in your project tool for each of 6 onboarding checklist items, and each client now uses 9 tasks. Looping itself is free, but every action inside the loop counts for each item.
How AI steps change the math
Since June 15, 2026, AI by Zapier steps are priced by model tier, according to Zapier's model tier pricing article. As described there in October 2026:
- Standard (no tools): 1 task per run.
- Advanced: 3 tasks per run.
- Premium: 5 tasks per run.
- Your own AI account (bring your own key): 1 task per run.
Tool calls (when the AI step uses another app action or a knowledge source) are charged at the same rate. Zapier's own examples: a Premium step with 2 tool calls uses 15 tasks; an Advanced step with 1 tool call uses 6. The same article says new steps on paid plans default to Premium, and each run has a default safety limit of 75 tasks before the step pauses for your approval.
What that means in practice: an AI step that summarizes every incoming email at the Premium tier uses five times the tasks of a Standard step doing the same thing. If a simple summary or classification is all you need, choosing Standard, or connecting your own AI account, can cut that step's usage sharply. Check which tier each AI step uses after you build it.
Zapier Agents are billed separately, in "activities" rather than tasks, according to the pricing page.
What happens when you go over
Zapier's pay-per-task billing applies on paid plans. As listed in October 2026:
- With pay-per-task on, Zaps keep running and extra tasks are billed at 1.25 times your plan's per-task rate on annual plans, or 2.5 times on monthly plans.
- Usage stops at three times your plan's task allowance until the next cycle. Zapier's example: a 750-task plan can run up to 2,250 tasks.
- With pay-per-task off, Zaps stop when you hit your limit, and tasks are held until the next cycle.
For a firm, neither option is free of risk. Overage on a monthly plan is expensive, and a stopped Zap means intake or billing work silently waits. Decide which you prefer, set a usage alert, and look at task usage each month.
Estimating your monthly bill
- List each Zap you run or plan to run.
- Count billable steps in each: actions only, not triggers, filters, paths or formatters.
- Multiply by monthly volume: forms, invoices, new clients, emails.
- Add AI steps at their tier rate (1, 3 or 5 tasks, plus tool calls).
- Add a margin for growth and new Zaps, then pick the tier above your total.
A simple sheet with one row per Zap (billable tasks per run, runs per month, tasks per month), kept in the same spreadsheet as your tool list, makes the next plan change a decision instead of a surprise.
Five ways to keep the bill down
- Filter before actions, so irrelevant triggers stop before they use tasks.
- Use native integrations where two apps already connect directly; they do not use Zapier tasks at all. Our guide to native integration vs Zapier vs custom API explains when each fits.
- Pick the right AI tier for each step rather than leaving the default.
- Use Digest to batch notifications into one daily message instead of one per event.
- Remove duplicate Zaps. Two Zaps doing the same job double the tasks and often create duplicate records.
If your Zaps carry client, financial or health data, check with your compliance lead what Zapier's terms allow for your firm before scaling up.
How Flow Mesh helps
Our stack audit reviews your Zapier account alongside every other tool you pay for, gives each a verdict (keep, configure, consolidate or replace) and sets out in writing which Zaps to keep, rebuild or retire. Any implementation is quoted in writing after the audit and carried out inside your own accounts. For context, a US consulting firm we worked with got about 20 hours a month back; see our case studies.
Key takeaways
- For a team, Zapier's Team plan (from $69 a month billed annually for 2,000 tasks, as listed in October 2026) adds shared connections, which keep Zaps running when people leave.
- Only successful actions use tasks; triggers, filters, paths, formatters and looping steps themselves are free.
- AI steps use 1, 3 or 5 tasks per run by tier, plus the same again for each tool call.
- Over your limit, pay-per-task costs 1.25 or 2.5 times the base rate and stops at three times your allowance.
- Estimate tasks per Zap before choosing a tier, and review usage monthly.
