GoHighLevel and QuickBooks or Xero: how do you connect them?
Flow Mesh · · 6 min read
GoHighLevel (now branded HighLevel) is where many consultancies, clinics and agencies run their leads, bookings and invoices. The accounts, though, are kept in QuickBooks Online or Xero, and somebody ends up retyping invoices or checking two systems to see whether a client has paid.
The short answer: HighLevel has native integrations with both, set up from Settings, then Integrations, in each sub-account. The QuickBooks Online one syncs in both directions; the Xero one is mostly one way, pushing invoices from HighLevel into Xero. Neither covers everything, so read what each one leaves out before you switch it on, and use Make or Zapier only for the gaps.
What the QuickBooks Online integration does
According to HighLevel's QuickBooks setup article, the integration works in two directions:
- Contacts, QuickBooks to HighLevel: existing QuickBooks customers are imported and new ones keep syncing, which can take up to about five minutes.
- Contacts, HighLevel to QuickBooks: customers are created in QuickBooks when they have activity in HighLevel, matched by email so an existing customer is updated rather than duplicated.
- Invoices, HighLevel to QuickBooks: invoices are created in QuickBooks once they are sent, with number, status, dates, contact, totals, amount paid and line item names. Draft invoices do not sync.
- Payments: payments taken in HighLevel through order forms, subscriptions or calendar bookings are recorded in QuickBooks as sales receipts, matched by contact email.
- Old invoices, QuickBooks to HighLevel: imported only if you enable the import option during setup, and later edits to those imported invoices do not sync back.
There is also an optional review request: when QuickBooks shows a contact's first invoice paid in full, HighLevel can send a review request automatically.
Note that this is QuickBooks Online only. If your bookkeeper still runs QuickBooks Desktop, the native connector is not an option.
Limits worth knowing
- Only new invoices sync. Invoices created in HighLevel before you connect stay where they are.
- Discounts and taxes behave differently by region. For US sub-accounts they are applied against the item price; elsewhere they sync separately. Check a test invoice with your accountant before going live.
- Accepting an estimate does not create the QuickBooks customer. The help article itself is not fully consistent on when customers are created, so test the exact sequence your team uses: estimate, invoice, payment.
- Products are not mentioned as a synced object. Only line item names travel on the invoice, so your QuickBooks products and services list needs looking after separately.
What the Xero integration does
HighLevel's Xero article describes a narrower, mostly one-way sync:
- Contacts: active Xero contacts are imported into HighLevel so invoices can be matched to them. If an invoice's customer has no match, HighLevel creates the contact in Xero during the invoice sync.
- Invoices, HighLevel to Xero: line items, quantities, amounts and discounts are pushed into Xero, and status changes such as sent, partially paid and void follow.
- Taxes: a mapped Xero tax rate is used if one exists; if not, HighLevel creates it.
- Currencies: the invoice currency is passed to Xero, and your Xero plan must support multi-currency for anything other than your base currency.
What it does not do, as stated in that article in October 2026:
- No receipt syncing, which HighLevel says is coming.
- No products or items created in Xero; line items stay on the invoice only.
- No historical invoices by default.
- One HighLevel sub-account connects to one Xero organization. Agencies and multi-entity groups connect each sub-account separately.
Two setup details cause most early errors. Do not map a bank account to line items, because Xero rejects it. And if you want to choose the posting account inside HighLevel, the account must allow payments in Xero's advanced account settings first. HighLevel's Xero changelog entry also notes that the connection drops automatically after 60 days without activity and that failed invoice syncs trigger an email alert, so make sure that alert goes to someone who reads it.
QuickBooks or Xero: how the two compare
| QuickBooks Online | Xero | |
|---|---|---|
| Direction | Both ways | Mostly HighLevel to Xero |
| Contacts | Two-way, matched by email | Imported from Xero; created in Xero when missing |
| Invoices | Sent invoices pushed; optional import of old ones | Pushed with status updates |
| Payments | Recorded as sales receipts | Status only; receipts not yet synced |
| Products | Not synced | Not created in Xero |
A setup order that avoids a mess
- Decide where invoices are raised. If invoices are created in HighLevel, accounting should not also create them for the same clients. One system raises, the other records.
- Clean contacts on both sides. Matching relies on email. A client with two email addresses, or a shared accounts@ inbox used by three clients, will produce duplicates or wrong matches. Our guide to syncing apps without duplicates explains the matching rules to settle first.
- Agree tax and account mapping with your accountant. Which revenue account each service posts to, and which tax rate applies, is their call, not the integration's. Check with your accountant before you connect.
- Test with three real invoices: a simple one, one with a discount, one paid by card through HighLevel. Look at each in QuickBooks or Xero before you turn it on for everyone.
- Name an owner who checks the sync errors weekly.
When you need Make or Zapier as well
The native integrations handle the basic invoice flow. Common requests sit outside it:
- Payment received in Xero updates HighLevel. The Xero integration does not bring payments back, so a pipeline stage or onboarding sequence that depends on "paid" needs a separate workflow.
- Won opportunity creates a draft invoice with the right line items, rather than someone building it by hand.
- Products kept in step between the two systems.
- Several sub-accounts posting into one accounting file with tracking categories per location.
Make lists ready-made HighLevel and Xero modules, and Zapier can do similar work. The rule that keeps a mixed setup sane: never let the native integration and an automation both create the same record. If the native sync creates invoices, the automation only reads them or updates fields the native sync does not touch. Our article on why Zapier automations break covers the other usual failure points, such as personal logins and renamed fields.
How Flow Mesh helps
Our stack audit checks how HighLevel, your accounting software and the rest of your tools fit together, gives each a verdict (keep, configure, consolidate or replace) and sets out in writing which records should flow where. Any build is scoped and quoted in writing after the audit, and the work happens inside your own accounts.
Key takeaways
- HighLevel's QuickBooks Online integration syncs contacts both ways, pushes sent invoices and records payments as sales receipts.
- The Xero integration is mostly one way: invoices go from HighLevel to Xero, receipts and products do not sync yet.
- Only invoices created after you connect sync automatically, and drafts never do.
- Clean contacts and agree account and tax mapping with your accountant before connecting.
- Use Make or Zapier for payment-back and won-deal workflows, without two tools creating the same record.
